Phu Quoc is the only destination in Vietnam where international delegates arriving directly need no visa at all. For an incentive group holding half a dozen passports, that single fact removes weeks of paperwork and the risk of somebody not making it.
Phu Quoc hosts the APEC Leaders' Meeting in November 2027. The island's infrastructure is being upgraded to the standard required for a summit — airport, roads, convention centre. For anyone planning a corporate programme there, this cuts both ways, and we will tell you about both.
Foreign nationals entering Phu Quoc are exempt from visa requirements for stays of up to 30 days. The exemption also applies when transiting through another Vietnamese international gateway before flying on to the island. For a multinational incentive group, this is the single largest advantage Phu Quoc holds over every other destination in the country.
A convention and exhibition complex with a 4,000-seat multipurpose theatre, on a site of more than 16 hectares, is in final construction with interiors due to complete by March 2027. After the summit it becomes the largest conference facility in the Mekong Delta region.
A second terminal and a second runway at Phu Quoc International are in the final stages, targeted for operation ahead of the summit. Capacity for large groups and for direct international services will increase substantially.
The other side of preparing for APEC: several routes are under construction and some areas carry noise and dust. We choose properties and route transfers to avoid them, and we will tell you which areas are affected at the time we quote.
Calm seas, reliable sun, island boat trips running every day. It is also the international peak, so it needs booking early — for groups from 120 delegates, commit 90 to 120 days ahead.
The cheapest rates of the year, but boat trips and island excursions can be cancelled at short notice. We only accept groups in that window where the programme carries a genuine contingency, not a contingency written on paper.
Phu Quoc has plenty of large resorts, but the number able to offer both an adequate room block and adequate banqueting space at once is far smaller than a list of hotels suggests. That constraint decides where your group can actually stay.
The solid bar shows properties that can simultaneously offer both the room block and the function space required, at 4–5 star grade. The pale bar is the range where each case has to be surveyed individually.
| Property group | Rooms we can block | Largest function space | Banquet capacity | Best suited to |
|---|---|---|---|---|
| Large resorts, Bai Truong – south island | 200 – 450 | 600 – 1,200 m² | 500 – 1,000 guests | 120–200 delegates, large conference and gala |
| Resorts, Bai Dai – north island | 150 – 300 | 350 – 700 m² | 300 – 600 guests | 70–150 delegates, leisure-weighted |
| Four-star hotels, Duong Dong | 80 – 160 | 150 – 400 m² | 120 – 350 guests | 30–100 delegates, budget-led |
| Beach and outdoor event sites | — | no hard ceiling | up to 800 guests | Outdoor gala, wet-weather plan mandatory |
We list property groups rather than naming individual resorts, because availability on Phu Quoc is moving unusually fast during the APEC build — several properties are under long-term contract or refurbishment. When you send a brief, we come back with named properties and live availability for your exact dates.
A common configuration for an incentive group of 70–119 delegates at 4–5 star grade. A frame rather than a fixed itinerary; every element can be swapped.
The airport is fifteen to twenty-five minutes from the Bai Truong resorts. Vehicles staged against each flight, with welcome banner, cold towels and water.
Dedicated desk in the resort lobby for the whole stay. Name badges, documentation, schedule and the 24/7 duty number.
Groups on morning flights need recovery time. We deliberately schedule nothing here — in our experience, packing day one damages the energy of the entire programme.
Informal outdoor reception with acoustic music and no formal proceedings. The purpose is for people to meet and then get an early night.
Room set to purpose, with LED wall, sound, lectern, two coffee breaks and lunch within the package. Breakout rooms available where the agenda calls for syndicate work.
Buffet at the resort. Vegetarian, Halal and declared dietary requirements prepared separately and clearly labelled.
Time for delegates to change for the evening.
Stage built on the sand, backdrop carrying the group's identity, full lighting rig, bilingual MC, live band and awards run of show. The whole event has a confirmed indoor fallback, called four hours in advance.
Boats chartered for the group alone, life jackets and snorkelling equipment provided, safety crew on board. Stops for snorkelling and fishing.
Fresh seafood cooked on site. Alternative mainland restaurant confirmed in case of rough seas.
Resort facilities, spa, or shopping in Duong Dong.
Local seafood restaurant or at the resort, whichever the group prefers.
Hospitality desk remains open. Luggage storage for late flights.
Late check-out negotiated, or shared rooms held for afternoon departures.
Split by flight time, escorted through to the check-in desk.
Photographs, video, attendance list and final account within three working days.
The gala never goes on the final night when the group flies out early the next morning — people are tired, the photographs are poor, and missed flights go up. Every outdoor activity carries a written indoor alternative, included in the detailed programme.
Phu Quoc runs roughly 15–20% above mainland destinations at the same service grade, because everything and everyone has to be brought to the island. What you get in return is the visa exemption and the quality of the beaches.

Rates include Vietnamese VAT and a full tax invoice is issued. Air tickets are not included — fares move daily, and bundling them would make any quote expire within 48 hours.
These are indicative ranges for the sample programme above, 4-star grade, shoulder season. The detailed quote is confirmed against live availability at the time of booking and will be within 15% of this range, provided the brief you give us is accurate and the destination, accommodation grade and season do not change.
First, if your group sits between 46 and 52 delegates, consider trimming to 45 or building to 55–60 — a 45-seat coach carries forty-five people, and delegate forty-six forces a second vehicle for the whole programme. Second, the June to September rainy season runs 25–30% cheaper but marine activities can be cancelled; if your dates are flexible and you accept a genuine contingency plan, that is the largest saving on the table.
Working hours are Monday to Friday, GMT+7. Detailed quote within 3 working days. An internal timer tracks every enquiry and escalates automatically before the deadline is missed.
Indoor alternatives are written into the detailed programme, not improvised on the day. Phu Quoc has rain and rough seas from June to September. For boat trips and island excursions, the decision to run or substitute is taken twelve hours ahead against the marine forecast, not at the last minute.
One guide per 28 guests · one on-site coordinator per 50 · a programme supervisor from 100 guests · a medic travelling with the group from 100 guests.
Once the quote is issued, the room block and function space are held for seven working days while you get internal approval. No money changes hands at this stage.
35% on signature · 50% at 30 days out · 15% at 7 days out. The rooming list is locked at 14 days out, before the final payment falls due.
The deposit is calculated on the guaranteed minimum, not on your optimistic estimate. Falling short within the agreed band costs nothing.
The two steps below are optional. Filling them in gets you a sharper quote sooner, but nothing is gated behind them.
